Every accountancy firm holds a stack of client records: registered addresses, director details, year-end dates, VAT quarters, payroll schedules. When those records are accurate, the practice runs smoothly. When they're wrong, filings go to the wrong address, deadlines get missed, and the firm carries the liability for an error that started with a data entry that nobody checked.
The Companies House problem
Registered office address, director details, and Person with Significant Control information must be accurate at Companies House. Errors here cause downstream filing failures: confirmation statements go to the wrong address, acceptance notices miss the client, and the firm doesn't find out until a penalty arrives.
From November 2025, new identity verification rules require all directors and PSCs to verify their identity via GOV.UK One Login or through an authorised agent. Firms need to track which clients have completed verification and hold their 11-character personal code. This is a new, ongoing data management task that didn't exist before.
The confirmation statement trap
Each company has its own CS01 deadline based on its incorporation date, not its accounting year-end. A practice with 60 clients can have 60 different confirmation statement deadlines running simultaneously across the calendar year. Managing these from a shared spreadsheet or a fee earner's memory is not a system. It's a liability.
Year-end and VAT quarter mismatches
If the firm's practice management system shows the wrong accounting year-end, work may be prepared for the wrong period. If VAT quarters are recorded incorrectly, a filing window gets missed. These are basic data errors but in a busy practice with multiple clients and multiple deadline streams, they happen. The cost of a missed filing is a penalty, and the penalty lands on the client relationship.
